How the job is usually done
- Agree the platform, number of users, the domain and what must be moved from the old system.
- Make sure the business owns the domain and the subscription, with the owner as main administrator.
- Set up the tenant, users, groups and shared mailboxes, and the domain records that make email deliverable and harder to spoof.
- Migrate old email, contacts, calendars and files, usually over a weekend to limit disruption.
- Turn on security: multi-factor authentication, admin roles kept separate, sharing limits and backup of mailboxes.
- Connect each person’s laptop and phone, and show them the basics.
- Hand back all admin access and remove or reduce the installer’s own account.

Safety

- Watch for fake invoices and login pages around the switch-over; confirm any payment change by phone.

Who should own the admin account?
The business. The installer can have their own named admin account during the work, removed or limited afterwards, but the owner should hold the top account, the domain login and the recovery codes.
Will we lose email during the move?
Not if it is planned. The old system keeps running until the domain records are switched, and mail is copied across before and after. Some messages can be delayed by a few hours while the change spreads.
